Understanding Editorial Status for Editorial Manager CSV files

Since not all journals count submissions in the same way, we have added an Editorial Status filter for Editorial Manager csv files. From the editorial status, you can tell how far along the path to peer review a manuscript has gotten and based on that information, you can choose whether or not to count those manuscripts as submissions.

First thing to understand is that depending on how Editorial Manager was setup for your journal, that may change what gets counted by Editorial Manager as a submission in the set reports that you will see in that manuscript handling system. Some journals are setup to count everything (e.g., incomplete submissions, submissions withdrawn by authors prior to editor assignment, etc.), while others have a more restricted counting system in place.

If you open your csv file in an application, such as Excel, you will notice that some manuscripts do not have any values in the Revision Number column. These are manuscripts that have not yet been assigned to an editor. In the Editorial Status filter, we designate this as No Rev.

It is possible, that you will have some rows without a Manuscript Number. At some journals, manuscripts are not assigned a manuscript number until they are assigned to an editor, while other journals are setup to assign a manuscript number as soon as the author submits it to the journal office. You can determine how your journal is setup by looking at your New Submissions folder on the main menu of Editorial Manager. If the new submissions do not yet have a manuscript number, then you will have rows in your csv file with submissions with no manuscript number. In the Editorial Status filter, they will be designated as No ID.

Your team may want to look into some of the manuscripts with no manuscript and/or no revision number to decide whether or not you want to count these items as submissions.

So if you are a journal that likes to count everything regardless of whether it was triaged, peer reviewed, or decisioned, you will probably want to count manuscripts with no revision number and/or manuscript number. However, for most journals, you will want to filter out some of the editorial status types that do not involve peer review.


Below are some examples of possible Editorial Statuses (it is possible that your status will not include No ID):

Editorial Status for manuscripts that are not yet ready for peer review or were removed before being assigned to an editor:

Sent Back to Author - No ID, No Rev - A manuscript that was sent back to the author usually for failing initial check-in for the journal office. Note, not all of these manuscripts will be resubmitted to the journal office. If you check your CSV file in Excel, you may find that some of these manuscripts were returned to the author a considerable time ago.

Removed by Author - No ID, No Rev - A manuscript that was removed by the author prior to being submitted to the editorial office.

Removed by Editor - No ID, No Rev - A manuscript that was removed by the editorial office prior to being submitted to the editorial office. This is usually done by proxying the author's account and cleaning out old incomplete submissions.

Incomplete - No ID, No Rev - An incomplete submission still in the author's account and not yet submitted to the editorial office.

Completed Withdrawn - No ID, No Rev - A manuscript that was removed by the editorial office at the request of the author prior to being assigned to an editor.

Content Files Deleted - Forced to Withdrawn- No ID, No Rev - A manuscript that was removed by the editorial office prior to being assigned to an editor but without the request of the author. This might occur if the editorial office determines/discovers that this is not an original manuscript or has significant text overlap with a previously printed article.

Editorial Status for revised manuscripts that are not yet ready to go back to peer review:

Author declines to revise - After receiving an initial decision from an editor, the author decides not to revise the manuscript.

Editorial Status for manuscript that are still in the process of peer review or have not yet received an editor's decision

Under Review - A manuscript that is in the process of peer review.

Required Reviews Completed - A manuscript that has completed peer review but it not yet back with the editor.

With Editor - A manuscript that has completed peer review and is waiting for an editor's decision.

Editorial Status for manuscripts that have received a revise type decision:

Revise - A manuscript that has been given an editor decision that requires the author to make changes to the manuscript. This status shows that the manuscript is currently with the author for revisions.

Editorial Status for Final Decisions:

Completed Accept - A manuscript that has been accepted for publication

Completed Reject - A manuscript that has been rejected for publication. In some cases, the journal may allow some of these manuscripts to be resubmitted as a new manuscript.

Completed Withdrawn - This is a manuscript that has been withdrawn at the request of the author after it has been assigned to an editor. Note, if it is withdrawn while in peer review (prior to getting the editor's decision), you will see [Terminated by...] in the Decision column.
